Privacy Policy
Effective date: July 9, 2026
Millennium Medical Care Reston ("Millennium Medical Care," "we," "us," or "our") operates this website and the online appointment-request tools available on it (the "Site"). This Privacy Policy explains what information we collect through the Site, how we use and share it, and the choices and rights available to you. It applies to the Site only — it does not replace or modify our HIPAA Notice of Privacy Practices, which governs protected health information ("PHI") we create or receive as part of providing clinical care and which is provided separately at your appointment or upon request.
1. Information We Collect
We collect information you voluntarily submit through our appointment-request form and related contact forms, including:
- Full name, phone number, and email address
- Preferred appointment date and time
- Reason for visit (selected from a general category, e.g. "Primary Care," "Urgent Care / Sick Visit," "Physical Exam," "Lab Testing," "Flu Shot / Immunization," or "Other")
- Any optional message you choose to include
Our forms are intentionally limited to scheduling information and specifically instruct visitors not to include sensitive medical details. We also automatically collect limited technical information when you browse the Site — such as IP address, browser/device type, pages viewed, and referring URL — through standard web server logs and analytics/advertising tools described in Section 4.
2. How We Use Your Information
- To respond to and schedule appointment requests submitted through the Site
- To send you a confirmation email acknowledging your request
- To contact you by phone, text, or email regarding your appointment, consistent with the consent described in Section 3
- To operate, secure, and improve the Site, and to measure the performance of our advertising
- To comply with legal obligations and protect the rights, safety, and property of Millennium Medical Care Reston, our patients, and the public
We do not sell your personal information. We do not use information submitted through the appointment-request form for any purpose unrelated to scheduling and communicating with you about your care, except as described in this Policy.
3. Text, Call & Email Consent (TCPA)
If you provide your phone number and check the consent box on our appointment-request form, you expressly agree that Millennium Medical Care Reston (and vendors acting on our behalf) may contact you by telephone call, SMS/text message, or email — including through automated dialing, texting, or pre-recorded-message technology — at the number or address you provided, for purposes of confirming, scheduling, or following up on your appointment request. This consent is express written consent under the Telephone Consumer Protection Act (TCPA) and is not a condition of receiving care or any purchase from us.
- Message and data rates may apply. Message frequency varies based on your interactions with us.
- Opt-out: Reply STOP to any text message to stop receiving text messages from us, or reply HELP for assistance. You may also revoke consent at any time by calling us at (703) 440-7000 or emailing us using the contact information in Section 9.
- Carrier liability: Carriers are not liable for delayed or undelivered messages. Wireless carriers are not liable for any delays or failures in the transmission of messages originated through our appointment scheduling communications.
- Consent records: We retain a record of the date, time, and method by which consent was given (and any subsequent revocation) for as long as reasonably necessary to demonstrate compliance with applicable law.
4. Cookies, Analytics & Advertising
The Site may use cookies, pixels, and similar technologies (such as Google Analytics, Google Ads conversion tracking, and comparable tools) to understand how visitors use the Site and to measure the effectiveness of our advertising, including the Google Ads campaigns that may have brought you to this page. These tools may collect information such as pages visited, time on page, and general location derived from IP address. You can control cookies through your browser settings; disabling cookies may affect how the Site functions.
5. How We Share Information
We do not sell personal information collected through the Site. We may share information with:
- Service providers who help us operate the Site, host our data, send emails/texts, or manage scheduling (bound by confidentiality and data-protection obligations)
- Our clinical and front-office staff, solely to schedule and prepare for your visit
- Regulators, law enforcement, or other parties when required by law, subpoena, or to protect the safety of any person
- A successor entity in the event of a merger, acquisition, or sale of assets, subject to standard confidentiality protections
6. Your Privacy Rights (Virginia & Other States)
Depending on where you live, you may have rights under state privacy laws such as the Virginia Consumer Data Protection Act (VCDPA). Where applicable, these rights may include the right to:
- Confirm whether we process your personal information and access that information
- Correct inaccuracies in your personal information
- Request deletion of personal information you have provided to us
- Obtain a portable copy of your personal information
- Opt out of the processing of personal information for purposes of targeted advertising or the sale of personal information (we do not sell personal information)
- Appeal a decision we make regarding your privacy request by contacting us using the information in Section 9; if we deny your appeal, Virginia residents may further contact the Office of the Virginia Attorney General
To exercise any of these rights, contact us using the information in Section 9. We will verify your request and respond within the time required by applicable law.
7. Data Retention & Security
We retain information collected through the Site for as long as reasonably necessary to fulfill the purposes described in this Policy, respond to your request, and comply with legal and record-keeping obligations. We use administrative, technical, and physical safeguards designed to protect information submitted through the Site; however, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Children's Privacy
The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the Site outside of a parent or guardian submitting a scheduling request on a minor's behalf (e.g., requesting a school or sports physical for their child).
